Custom coolers are soft insulated bags decorated with your logo by screen print, heat transfer, sublimation, embroidery or a woven label or patch. For a catalogue model the minimum is usually 500 pieces per colour, with a counter sample in 7–12 days and bulk production in 25–35 days. Choose the decoration method by fabric, artwork colours and quantity.
Custom coolers are one of the most used promotional and retail products in the bag trade: practical, kept for years and large enough to carry a logo that gets seen. But "custom" covers everything from a one-colour print on a stock bag to a fully sublimated, own-brand insulated range. This guide walks through what you can actually change on a custom cooler, which logo method suits which fabric, and what minimums and lead times to plan for.
What can you customise on a custom cooler bag?
On a catalogue model you can change the decoration, colours, zip pullers, labels and packaging; on a new pattern you can also change shape, size, pockets and insulation.
Most promotional buyers start with a tooled model and change only the visible layer, because it keeps cost and lead time down. Retail and private-label buyers often go further. A typical split:
- Catalogue model, decoration only: logo print or embroidery, stock fabric colour. Fastest route.
- Catalogue model, custom colour: fabric dyed to your Pantone, matching webbing and zip tape. Needs a lab dip.
- Modified catalogue model: add a front pocket, change the strap, thicken the foam, swap the liner.
- New pattern: your own dimensions and construction, built from a brief or a reference sample.
Our catalogue holds 154 cooler and insulated models, so for most custom insulated bags there is already a tooled shape close to what you need. Browse the full cooler and insulated bag range before you brief a new pattern.
Which logo method suits a printed cooler bag?
Screen print is the default for one- to three-colour logos on flat panels; sublimation suits full-colour artwork on light polyester; embroidery and patches suit premium and monogrammed coolers.
| Method | Best for | Fabric | Colours | Watch out for |
|---|---|---|---|---|
| Screen print | Simple logos, promotional runs | Coated polyester, canvas | 1–4 spot colours, one screen each | Fine detail and gradients |
| Heat transfer | Multi-colour logos, small areas | Most fabrics | Full colour | Edge lifting if pressed badly; ask for a rub test |
| Sublimation | Photographic or all-over patterns | Light-coloured polyester only | Full colour | Does not work on dark or cotton fabrics |
| Full-surface sublimated fabric | All-over own-brand prints | Polyester, printed before cutting | Full colour | Pattern placement across seams |
| Embroidery | Premium, monogram style | Most woven fabrics | Thread colours | Small text below about 5 mm; needle holes through the outer only |
| Woven label or silicone/PU patch | Retail own brand | Any | Limited by weave or mould | Mould or loom set-up for custom shapes |
One construction point matters on insulated products. Decoration is applied to the outer panel before the bag is assembled, so it never pierces the leak-proof liner. If a supplier proposes to embroider or print a finished cooler, ask how the liner is protected.
Personalized coolers with names or monograms
Personalized cooler bags with individual names are usually finished after bulk production, while one shared logo or monogram can be applied at the factory across the whole run.
For a wedding party, a team or a corporate gift where every bag carries a different name, the practical model is to order a branded or plain bulk run and personalise locally with heat transfer or embroidery. If the same monogram or initials go on every bag, that is just a logo and can be done at production. Monogrammed coolers usually look best as embroidery or a debossed PU patch on a solid-colour fabric. If you need variable names applied before shipping, send the brief and we will tell you honestly whether it can be done on your model and quantity.
Custom cooler bags with no minimum: what is realistic?
True no-minimum custom coolers are almost always stock bags decorated one at a time, which is fine for a handful of gifts but expensive per piece and limited in choice.
Factory production has minimums because fabric is dyed in lots, liners come on rolls and print screens cost the same for 100 pieces as for 10,000. Our working minimums:
- 500 pieces per colour on a catalogue model.
- 1,000 pieces per colour for a new pattern or a custom-dyed colour.
- 100–300 piece trial runs are sometimes possible on lunch bags and pouches, at a higher unit price.
If your quantity sits between those numbers, choose a stock colour and spread the order across sizes rather than colours. The economics are explained in MOQ, lead time and price breaks.
Choosing the right custom insulated bag for the job
Pick the shape by how the bag will be used at the event or by the end customer, then pick the decoration. A good logo on the wrong bag is not kept.
- Office and lunch giveaways: a compact custom insulated lunch bag with a flat front panel for print, such as our custom logo cooler tote lunch bag in 600D with microfiber.
- Retail and supermarket promotions: a larger custom insulated tote that doubles as a shopping bag, for example the double-layer custom logo tote cooler bag at 38 × 26 × 31 cm.
- Personalized cooler bag gifts: a mid-size shoulder bag with room for embroidery, like the personalised picnic and lunch cooler bag.
- Outdoor events and camping: a large picnic cooler or a cooler backpack with a stiff base and reinforced handles.
- Coolers on wheels: for heavy loads and markets, an insulated rolling cooler trolley bag takes the weight off the shoulder.
Insulation is the same story whatever the logo. A 10 mm EPE foam wall with a welded leak-proof liner and two gel packs is designed to hold refrigerated food below 8 °C for roughly 6–8 hours at 25 °C ambient; a 15–20 mm wall, a zip storm flap and a light outer colour extend that. These are design ranges, not guarantees, and we can run a timed test on your approved sample.
Artwork and colour rules that prevent reprints
Most decoration problems start with the artwork file, not the factory. Follow these steps before you send a logo:
- Send vector artwork (AI, EPS or PDF with outlined fonts). A JPEG from a website will be redrawn and may change.
- Give Pantone references: Pantone C for print colours, Pantone TCX or TPG for fabric. Approve a lab dip for any custom fabric colour.
- State logo size and position in millimetres from a seam or edge, on a marked-up photo of the model.
- Check contrast: a navy logo on a slate fabric disappears at arm's length. Ask for a print strike-off on the actual fabric.
- Approve the counter sample as the production standard, and keep one signed-off sample on each side.
- Agree the print rub test and include it in pre-shipment inspection.
A real example of how these rules fit a fixed budget is our promotional cooler and pouch programme, engineered to a fixed landed cost.
Lead time and cost for custom coolers
Plan on 7–12 days for a decorated counter sample and 25–35 days for bulk after approval, plus about a week from July to October. Sea freight to North Europe or the US East Coast takes 28–40 days.
Unit cost moves with four things: bag size and foam thickness, fabric (RPET 600D typically costs 8–15% more than virgin 600D and needs a GRS transaction certificate to support a recycled claim), the number of print colours or embroidery stitches, and quantity, because one-time set-up costs spread over more pieces. If your customer is in the US and the bag is aimed at children, add CPSIA testing; for food contact, ask for a migration report on the liner. Reports are issued per model and market in the buyer's name.

Frequently asked
What is the minimum order for custom cooler bags?
For a catalogue model with your logo, the minimum is 500 pieces per colour. A new pattern or a custom-dyed fabric colour starts at 1,000 pieces per colour. Small trial runs of 100–300 pieces are sometimes possible on lunch bags and pouches at a higher unit price, which suits test launches and small events.
What is the best logo method for printed cooler bags?
For one- to three-colour logos on coated polyester, screen print is reliable and economical. For full-colour or photographic artwork, use sublimation on light polyester or heat transfer on other fabrics. For a premium or monogrammed look, choose embroidery or a PU or silicone patch. Always approve a strike-off on the real fabric.
Can I order personalized cooler bags with different names on each one?
Individual names are usually added after bulk production, by heat transfer or embroidery, because each piece needs its own set-up. A logo or monogram that is the same on every bag can be applied at the factory. Order a branded bulk run, then personalise locally, or send us the brief to check feasibility.
How long does it take to make custom coolers?
Allow 7–12 days for a decorated counter sample and 25–35 days for bulk production after you approve it, with about a week extra from July to October. Sea freight to North Europe or the US East Coast adds 28–40 days. For an event date, work back roughly three months.
Does printing a logo affect how well a cooler insulates?
Not when it is done correctly. Decoration goes on the outer fabric panel before assembly, so it never pierces the welded liner or the foam. Insulation depends on foam thickness, liner, closure and outer colour. A dark all-over print absorbs more sunlight than a light one, which matters outdoors.
